Global Shared Services Center Administrative and Operations Support - Spanish Job Purpose Our MNC Client is looking for a highly motivated individual to provide administrative and operations support to the Law Department. This position requires a proactive and dynamic person with experience in administrative activities, as well as sufficient soft skills necessary to interact appropriately and effectively with the different members of the Law Department and other parties involved in the assigned activities. The main purpose of this role is to manage the administrative processes of the Law Department, with a focus on the Latin America (LA) region. Responsibilities Manage legal software and other pertinent tools for data base management, by verifying that all steps for the execution of agreements are fulfilled correctly as per requests. Control the judicial expert analysis agenda. Coordinate meetings with internal departments and external participants, including but not limited to verifying availability of participants, sending the meeting agenda, organizing the supplies required (if it is an in-person meeting), take minutes during the meeting, and drafting and sharing the action items agreed on in that meeting. Comply with internal invoice process (whether it be by SAP or otherwise) and contribute to overall budget management and administration. Schedule travel reservations, such as transportation airport and hotel booking, and process all related expenses according to the appropriate process. Monitor and follow up on documents with expiration dates that pose a risk for the company. Requirements & Qualifications 5+ years experience in an administrative assistant position with a multinational company supporting colleagues located in different geographic areas. Advanced knowledge of Microsoft Office and SAP. Fluent in English and Spanish required. [OL1] Self-motivated, proactive & hardworking. Ability to listen and anticipate. Strong written, and verbal communication skills, with an eye for detail. Proven ability to meet stringent deadlines, adapt to changing priorities. Ability to thrive in a fast-paced environment
