Description
Act as a primary point of contact for the CEO/Owner/Director, managing communications and responding to inquiries.
Maintain a high level of professionalism in all interactions.
Calendar and Schedule Management:
Organize and manage the CEO’s calendar, arranging appointments, meetings, and travel itineraries.
Prioritize and resolve scheduling conflicts to ensure efficient use of time.
Communication and Correspondence:
Draft, proofread, and send correspondence on behalf of the CEO, including emails and formal letters.
Conduct email and phone call scanning, ensuring timely responses and follow-ups.
Office Administration:
Oversee office administration functions, ensuring smooth daily operations.
Collaborate with staff and departments to coordinate meetings and events.
Financial Management:
Assist with cash flow management, including bill payments, credit card maintenance, and household variable payments.
Ensure the renewal and maintenance of car insurance and health policies are up to date.
Travel Coordination:
Plan and organize travel bookings, including hotels and flights for business and personal trips.
Prepare and manage travel itineraries.
Staff Coordination:
Direct, organize, and handle staff-related tasks and daily coordination.
Communicate effectively with team members to ensure alignment with executive priorities.
Data Management:
Utilize Excel and other tools for data management and reporting.
Maintain and organize essential company documents and information.
Visa and Immigration Support:
Manage visa application processes and prepare invitation letters for international travel.
General Support:
Handle personal tasks for the CEO/Owner/Director as needed, while maintaining confidentiality.
Ensure that critical documents are filed and maintained accurately.
Requirements:
Proven experience as an Executive Assistant or in a similar administrative role.
Exceptional organizational and time management skills.
Strong verbal and written communication skills in English and additional languages (specify languages).
Proficient in Google Calendar, email management, and Microsoft Excel.
Ability to maintain confidentiality and handle sensitive information.
Proven ability to work independently and as part of a team in a fast-paced environment.
Strong attention to detail and accuracy.
